Internal Systems — Service Deep Dive

The work behind the work, finally in one place.

Custom dashboards, workflows, and internal tools that replace the spreadsheet sprawl. Built around how your team actually operates — not how some generic project tool thinks you should.

Chapter 01 · The Problem

Your team knows how to run the business. The tools just don't keep up.

Every growing business hits the same wall: your operations outgrow your tools. The spreadsheet that worked at five people falls apart at twenty. Notion becomes a swamp. ClickUp becomes a graveyard of stale tasks. Your team starts working in Slack threads and DMs because that's faster.

Then you hire a junior to 'clean things up'. Then you hire an ops manager. Then you buy three more SaaS tools. None of it fixes the underlying problem.

The real fix isn't more tools. It's one custom system, shaped exactly to how your team runs.

i.

Status lives in three different places

Sales has one view. Ops has another. Finance has a third. Every meeting starts with reconciling whose numbers are right.

ii.

Senior staff are reporting machines

Your best people spend hours every week pulling reports together by hand. They should be making decisions, not assembling data.

iii.

Onboarding takes weeks because nothing is documented

The system is in someone's head. When they're out, work stops. When they leave, you're back to year zero.

Chapter 02 · The Solution

One system, shaped to your team. Replaces the spreadsheet sprawl.

We build internal systems the way SaaS companies build their own ops tooling — but for you. Dashboards that pull live data, workflows that route work to the right person, approval flows that don't require Slack tags, reporting that updates itself.

Your team uses it because it's faster than the workaround. Not because there's a mandate.

Live ops dashboards

Pipeline, revenue, capacity, utilization — pulled from your real source systems, updated continuously, drillable.

Custom workflows

Approvals, handoffs, status flows. Routes work to the right person automatically. No more 'where is this?'

Self-serve reporting

Your team builds the reports they need without engineering help. Filter, group, export — without breaking anything.

Wired to your stack

Pulls from your CRM, accounting, marketing tools, project tools. Pushes back to them where it makes sense. One pane of glass.

Chapter 03 · How it works

Data in. Action out. Without a single spreadsheet.

Every internal system we build sits on top of your existing tools — it doesn't replace them, it orchestrates them. CRM stays your CRM. Accounting stays your accounting. But the daily operational view, the workflows, the reporting — that lives in one place built for the way your team works.

Chapter 05 · Common Questions

The stuff you'd ask on the call.

How is this different from Notion / Airtable / Monday?

Those are general-purpose platforms. Powerful, but the friction is real — you spend more time configuring them than using them. We build systems shaped exactly to your workflow, so your team doesn't have to think about the tool.

Will it replace our CRM / accounting tool?

No. We sit on top of your existing tools and orchestrate them. Your CRM stays your CRM, your accounting stays where it is. We just give you a single operational view across all of it.

How do we maintain it after launch?

Most of what we build is configured by non-developers (admins can add fields, change workflows, build reports). For deeper changes, we offer a maintenance retainer — but you can also bring it in-house or hire any developer to extend it.

What stack do you build on?

Next.js + Supabase or PostgreSQL for most engagements. Sometimes Retool or Appsmith if the use case fits. We pick the stack based on your team's maintainability needs, not our preferences.

Can it handle sensitive data (PDPA / GDPR compliance)?

Yes. We build with PDPA Malaysia and GDPR principles by default — encryption at rest, audit logs, role-based access, data residency in your region. We can host on infrastructure under your account.

How much does it cost?

Production builds typically range RM 40k–RM 150k depending on scope (number of integrations, complexity of workflows, custom reporting needs). You'll get a firm quote after the discovery week.
